What to Ask Before Renting a Wedding Venue

Congratulations. After three years of dating (and eight months of dropping hints), he finally popped the question. Now that the proposal is out of the way, it’s time to start planning the big event. Hundreds of decisions will be made over the next several months (or weeks) and aside from the dress, none of them will be more important than choosing the right venue for your wedding. Thankfully, the experts at Bridal Guide have put together a list of questions to ask before signing a contract and dropping a ton of money on a deposit. Here you go!

What services are included in the rental fee? Before booking the venue, make sure you have a clear understanding of what services are included in the rental fee. Are catering services and equipment such as tables, chairs, and linens provided and will a banquet manager be present on the big day?

Are there days or times when the rental fee is cheaper? Saturday nights are typically the most expensive but you can expect to pay a lower rate on a Friday or Sunday. Additionally, booking during non-peak months (November-April) will likely mean a better deal.

Are there other events scheduled at the venue on the same day? Avoid booking your event at a venue that’s hosting another wedding at the same time. You want to make sure you have the staff’s undivided attention. It is your special day after all.

What is the alcohol policy? Be sure to ask whether you’ll be charged a flat fee for a full open bar or will pay based on what your guests consume.

Are the health department permits and insurance policies up to date? Make sure the venue meets all health code requirements and carries liability insurance in case there’s a mishap at the reception. Better safe than sorry.

Are there adequate restrooms? The general rule of thumb is two bathroom stalls for every 100 guests. For 150 guests, four or more stalls are best.

Can you accommodate handicapped guests? Be sure to do a walk-through of the venue to make sure all elevators(if applicable) are working properly and ramps are easily accessible for guests in wheelchairs.

Are there any restrictions? Ask about neighborhood noise ordinances and fire hazards to avoid a surprise visit by the local police or fire department.

What is the cancellation policy? Before signing a contact, ask if, and under what circumstances, a security deposit is refundable. More importantly, make sure it’s in writing.
